Improving Workflow, Enhancing Accessibility and Efficiency for Therapists.

The Problem

EAP Malaysia is currently using Google Sheets to maintain the therapy schedules. This approach presents challenges in managing and tracking clinical progress, as data entry and analysis can be cumbersome and prone to errors. They need a more efficient system for collecting session data, tracking developmental milestones, etc progress reports.

The Objective

Integrating their current processes with a more robust and automated data collection solution could greatly enhance their ability to effectively monitor and support children’s development. The primary objective is to improve the support and monitoring of children’s development.

User Research Pain Points

What they do

Therapists update session information daily to ensure both parents and other therapists are informed. They engage with the platform before and after each session to record and review data.

Time constraints

Time is a critical factor for therapists. Working with active and repetitive behaviors in children with autism, therapists need to take notes in real-time, using the platform frequently throughout the day.

Accessibility

Accessibility is key, with therapists relying on the platform heavily. The desktop version provides more detailed information, while the app serves as a tool for session-by-session data entry.

Understanding The User

We conducted extensive meetings to deeply understand our target audience: behavioral therapists who work directly with children with autism. These therapists engage in one-on-one sessions, teaching essential skills for the children’s development. Initially, we focused on their daily interactions, but our research revealed various factors affecting their device usage, particularly the importance of data books. Each data book contains 20 to 30 data sheets, where therapists meticulously record session details. These insights are crucial in guiding our design process to effectively meet their diverse needs.

Goals

  • Ensure the effective implementation and progress of individualized ABA programs for children.
  • Provide clinical supervision and training to therapists under her supervision.

Frustration

  • Managing time between overseeing multiple ABA programs and training new team members.
  • Balancing clinical work with external autism awareness campaign efforts.
  • Ensuring consistency in data tracking and program updates across different therapists.

Yu Chen pioneered the EAP School programme in 2018, and currently, Yu Chen leads the department overseeing team performance and development as well as the team schedule.

CRM

  • Home: Overview of key client-related metrics and activities.
  • Schedule/Calendar: Manage appointments and client interactions.
  • Manage Clients: Maintain detailed client profiles, track communication history, and manage service plans.

HRM

  • Admin Login: Secure access for administrators to manage the system.
  • Manage Staff/Teams: Profiles, roles, attendance, performance evaluations, and training.

Mocking up final screens and interactions

The tool is never finalized.
There’s always room for improvement and brushing up.

However, the main aims are succeeded: the system tackles management issues, seamlessly when emergencies happen, along with an easy-to-use and pleasant interface.

Next Steps

In the upcoming phase, I plan to conduct another round of usability studies to validate the effectiveness of the enhancements made in addressing the pain points experienced by users. By empathetically observing and gathering feedback from users, we aim to ensure that their needs and concerns have been adequately addressed. This iterative process of testing and refinement enables us to continuously improve the user experience and deliver a product that truly meets their expectations and delights them at every interaction.
